Corporate Registration & Compliance Specialist

We’re a SaaS company building an online platform that streamlines Canadian business formation and ongoing corporate compliance. You’ll be part of a small, results-driven team that handles name searches, registrations, CRA program accounts, and digital minute books for clients ranging from sole proprietorships to federally incorporated companies.

Remote-first: work from anywhere in Ontario, with up to one in-office day per month in Toronto for team planning or secure document handling.
Hours: 22.5 hrs per week to start, moving to full-time in 3–6 months as we scale. All hours, breaks, and overtime practices follow the Ontario Employment Standards Act (ESA).

Key Responsibilities

  • Name Clearance & Reservation
  • Run NUANS and provincial searches via Dye & Durham eCore (OnCorp) or ESC Registry Complete and secure reservation numbers.
  • Business Registrations & Incorporations
  • File sole proprietorships, partnerships, and corporations through the Ontario Business Registry, Corporations Canada, and other provincial portals, using API or system-to-system connections where available.
  • Minute-Book & Share Records
  • Build and maintain digital minute books in Athennian, MinuteBox, or Fast Company; update share ledgers, director/officer registers, and annual resolutions.
  • CRA Program Accounts
  • Obtain Business Numbers and open GST/HST, payroll, and corporate-tax accounts via CRA Business Registration Online; manage access through My Business Account.
  • Annual & Event-Driven Filings
  • Track deadlines, prepare, and submit annual returns or corporate-change notices; resolve registry rejections by liaising with CRA, ServiceOntario, and other agencies.
  • Client Support & Knowledge Base
  • Respond to client questions by e-mail and live chat in clear, jargon-free English; draft concise how-to guides for common filings.
  • Compliance & Privacy
  • Protect client data, maintain detailed audit trails, and stay within the scope of administrative filing (no legal or tax advice). Identify liability risks and escalate when specialist advice is required.

Required Skills & Experience

  • 3 + years in corporate services, law-clerk, paralegal, bookkeeping, or accounting roles involving entity formation and compliance.
  • Daily use of at least two of the following: eCore (OnCorp), ESC Registry Complete, Ontario Business Registry, Corporations Canada online system, CRA BRO, Athennian, MinuteBox, Fast Company.
  • Law-Clerk diploma or Paralegal (P1) licence in good standing, or equivalent corporate-services background; CORES Level 2 certification is an asset.
  • Demonstrated management of 50 + active entities without missed deadlines.
  • Fluent written and spoken English (French not required).
  • Strong attention to detail, ability to juggle multiple filings, and comfort working independently in a remote environment.
